I. Logistics and other concerns

  • Budget
    • We haven’t spent that much, but only have $7k left
    • Still need to pay for beer brewing and dome room dinner
    • Meet with Elzey this week
  • Website Development
    • Hit Counter has been added to the site
    • Site will be down for a couple of hours
  • Rodman Newsletter
    • Get one person from each team to write a half-page summary about projects
    • Articles from ropes course and Germany trip as well
    • Respond to email and let Roy know if you would like to write something for the newsletter
  • Midyear applicants are going to be coming soon
    • Welcome event
    • Set them up with an advisor
    • Try to get a lawn room
  • Rodsems
    • Beer brewing is definite
    • Music professor couldn’t teach one, but could pick out a quality grad student
    • Manya is considering a cooking class from a professor in Darden
  • Choose date for next meeting
    • December 2nd

II. Lockheed Grants

  • RodSquad Free Home Energy Audits
  • Sustainable Energy Research Grants
    • Article was in CavDaily advertising it
    • More emails would be good for advertising
    • Maybe an email from Elzey
    • Applications are due December 4th
    • Going to start reading them mid-December
  • Engineering for a Sustainable World Seminar
    • Trying to get lectures lined up in the next couple of weeks
  • Green Playgrounds
    • Currently working on building a stationary bike to generate power
    • Didn’t want the liability of a swingset
    • Wanted a report on how to replace the groundcover material with something that is recyclable
    • Get a kids bike, stand, and generator
  • Rodman Supplemental Applications
    • Mike met with the person handling Rodman admissions
    • He didn’t like the application idea
    • He wasn’t really sure what Rodmans were looking for in program
      • Currently go for research in high school, high GPA, academic extracurricular activities
    • Maybe we’ll let this project die out

I.Feedback

  • Ropes course for first years was fantastic
  • Garden Party
    • Better than last year
    • Invite more professors
    • Chairs and plates for next year
    • Trash bags need to get there earlier
  • Advising Program
    • Most first years haven’t met their advisors
    • Kelly will send another email to remind advisors to meet with advisees
  • Rodsems
    • We have two as of now
    • Start next week
    • Mindfulness and meditation and dramatic structure
    • Fourth years are disappointed that wine tasting is not offered
    • Beer brewing will be offered in spring
    • Manya will send out an email to fourth years that wine tasting will not offered

II.Ideas for the coming year

  • Will continue with lecture series
  • We want to strengthen Rodman networking, especially after graduation
  • We will implement an incoming student application to require effort to become a Rodman scholar
  • We recently received $100,000 from Lockheed Martin for sustainability projects
    • Out of that, $50,000 is specifically for Rodmans
    • Predominantly focusing on electrical, computer, and systems engineering
    • $25k for RodSquad project
      • Team of rodmans to conduct home energy audits
    • Funding for sustainability research grants
      • 5 $3000 grants for sustainability grants
    • Green playground project - $5000
      • Educate kids about sustainability through a swingset system
    • $10000 for Engineering for a Sustainable World Seminar
      • Starts next semester
      • We will have to plan that soon

I. Spring Lecture Series

  • 5 speakers lined up, 6th on the fence
  • Business team
    • Coppock has not responded
    • Needs to be done by Friday, or new speaker needed
    • "Cut our losses and move on"
  • Healthcare Team
    • Guilford is excited
  • Advertising Team
    • First Year Party
    • $100 may or may not be enough
    • Squigglies and Popouts
    • Kicks off after Friday, needs to be confirmed by then

II. Rodsem Update

  • Digital Art
  • Beer Brewing
  • Technical Drawing (freehand sketching) from Elzey
  • English class on dystopias

III. Draft Budget

  • $6000 "bailout" from Dean Aylor
  • Officers should check estimates and evaluate them

IV. High School Packets

  • Already have one version, needs some modification
  • Need letter from Presidents

V. Social Event

  • Ice Skating?
  • No money, but could give rides to first-years
  • Rodman movie night in Chemistry building in February
  • Hiking with Prof. Gorman?

VI. Community Service

  • No relay for life

I. Engineering Open House (Sat, 2/21/09, 9 am – 3 pm)

  • We would like to have some Rodmans there, for many perspectives will undoubtedly be asking about the program
  • Ian to pass out a sign up sheet

II. Update on VEF (Virginia Engineering Foundation)

  • Responsible for procuring funding for SEAS
  • We needed money for Days on the Lawn and the Rotunda Dinner, so Chris and Blair met with several VEF officials
  • Deal: corporate donors to pay $2000 increments to be able to attend Days on the Lawn and the Dome Room Dinner (probably one single team member)
  • This will NOT be a recruiting event, they will be guests at our dinner
  • This should be a strategic move in that we will be moving in a more corporate-focused direction, although the goal is still to bond with other Rodman Scholars.

III. Days on the Lawn (Bobby – Saturday April 4th)

  • To be a catered event
  • Additional funding for food can be used to sponsor additional events
  • Money could also filter into the Rodman research program…
  • Events previously done:
    • Presentation by Professor Elzey and Dean Aylor (~20 mins)
    • Rodman speaker panel (no more than 5 this time)
    • Engineering design challenge (fun hands-on event)
    • Visiting room installed with Rodman research project exhibitions. Should these be presented?
      • Chris: Stage, etc...
      • Blair: Walking around and mingling more attention to HS attention spans…
      • Matt: Perhaps only a few presenters
  • General ideas for new events:
    • Matt: Do the outside event in Darden Court!
  • Bobby: please feel free to help out with this (rsa8q@virginia.edu)
  • Chris: We should print new T-shirts, find the ideal venue, etc…
  • Bobby: Will Will Jacobs be able to organize the research portion? Perhaps, could simply have a group of 5 strong Rodman researchers.
  • Bobby to assemble a team and send out an information/help request email

IV. Lecture Series Update

  • Some flyers have been posted
  • Forward the informational email as much as humanly possible!
  • Manya and Kelly to print larger flyers and have another chalking session
  • Matt: Tabling Newcomb will probably be a good publicity idea
  • Will have an impromptu chalking and flyering session after this meeting
  • Current lecture schedule is listed on the pdf emailed to the listserve

V. E-week Events (Blair, Matt – Next Week! Our day is Friday, 2/20)

  • Jell-O, Dodgeball, stapling, calculator quick draw (can replace Pictionary)
  • Blair and Matt will round up helpers, Luke to help with the Jell-O and calculators

VI. Newsletter (Bobby)

  • Will be printed and mailed shortly, then is out of Bobby’s hands
  • Business concerning receipt reimbursement
